Purpose of the Pilot
- To test our flows with educators from Yojak and Urmee Organisations.
- To identify the flow chains, disruptions and user response through our bot.
- To connect big queries and Data studio for generating user insights and response evaluations.
Initial training and Registration Date: 5th May 2023
Pilot implementation window: 6th May – 25th May
Field visit: 18th May 2023
What we learned from the educators:
- Educators found interacting with the bot – fun and easy to do!
- Educators from Yojak have successfully implemented 6 activities (disseminated through our bot) in their summer camps. The Urmee Team has implemented 2 and will be doing the rest this week.
Here are some pictures that we have received on our bot sent by our educators
- A total of 12 educators are part of our pilot session. 100% of them have said- it is easy to use and access.
- They are looking forward to receiving the 60 minutes of activities (lesson plans) on the bot too.
What worked from our flows!
- Flexibility to choose Language preference – Translated interactions.
- Additional support along with the lesson plans provided through sharing audio clips, videos, references for understanding the activity.
- Sense of gratification – Educators receiving congratulatory messages such as this:
- Playing with buttons – adding interactive messages is easier than typing anything
Learnings from monitoring the dashboard and interacting with the educators
- The flows need to be simple and crisp
- There needs to be a wait time for receiving the messages. If too many messages are sent at one go- it becomes difficult for the teachers to understand.
- While testing the flows on the simulator- always test in all given languages. (The flows working perfectly in english got disrupted in Marathi during the pilot – hence the checks should be done thoroughly)
- If a new interactive message is made – it should be made in all languages. If not, it will take the copy of the default/copied flow and go in loop. This further abruptly terminates the flow.
- Educators get confused if they don’t receive the messages instantly – hence it needs to be addressed during the training.
- Flows can be manually started and terminated on the dashboard. The team member monitoring the dashboard should keep a check on how the flows are going and intervene whenever needed.
- Honestly, We had faced numerous glitches while running the flow. Each glitch taught us something new about the platform and where we went wrong. This has been a great learning for us in terms of anticipating the responses and setting our responses/messages based on that. The platform is more of a self-exploratory – where trials and runs help us in strengthening our flows.
Next Steps for the SArC Whatsapp Bot
- The above mentioned reflections need to be consistently kept in mind while designing the flows for the Art for Educator Program
- Connect Data Studio with Big Query to run engagement numbers and create a dashboard for the Pilot. Share the same with the team by the End of Next week.
- Prepare flows in English, Hindi and Marathi language by the end of this month.

- Registration
- 1st lesson plan for all grades
- Test the flows in all languages by the end of this month.
- Get the flows reviewed by a support person from Glific/other organization.
- Attend and Learn from the Glific Mumbai Meet-up on June 30th (Agenda is to address the challanges/and understand new features of glific)
